Staffing Schedule Pro

Business customer manual

Audience: businesses requesting staff from an agency that uses Staffing Schedule Pro. If your business operates the staffing company itself, use the staffing company manual.

How you work with the agency

The current application has agency and worker portals, but no separate business-customer login, booking form, customer timesheet approval or staffing-invoice portal. Your agency maintains the staffing schedule and coordinates requests with you through your agreed contact method.

A client or venue record stores event information; it does not grant access. Do not request a shared agency administrator password to view a single event. The agency should provide the appropriate confirmation or authorized report through its normal process.

Prepare a staffing request

Send the agency:

  • Business and event name, event date and the local timezone you mean.
  • Venue address, arrival/check-in point and onsite contact details.
  • Positions, quantities, required skills and any qualifications the agency should verify.
  • Arrival, scheduled work and expected finish times; clearly distinguish a fixed finish from an estimate or an overnight shift.
  • Attire, duties, instructions, access requirements and arrangements for breaks or meals.
  • Your authorized request contact and the person who can approve scope or commercial changes.

Use your agency's agreed channel for any sensitive site information. Send only details required to coordinate the work.

Confirm the booking

Ask the agency to confirm the date, location, positions, headcount, times, service scope, communication contacts and agreed pricing/cancellation terms. A staffing request or application record does not by itself establish your commercial agreement.

Distinguish requested headcount, assigned workers, worker confirmations and any backup arrangement. Ask the agency to identify unresolved coverage. Do not assume a draft schedule, queued email or notification means all workers have accepted.

Change or cancel a request

Contact the agency with the event identity and precise change. Include which dates, roles, quantities, times or instructions change, and when the change takes effect. Ask for confirmation of the revised arrangement and any commercial impact under your agreement.

For urgent day-of changes, use the agency's designated urgent contact. Do not rely on a message to one worker to update the full schedule. The agency controls saved schedule changes, worker notification and replacement staffing.

Coordinate on the day

Have the onsite contact available at the agreed arrival point. Resolve access, duties and timing questions with the agency. Report missing coverage or material changes promptly. Avoid asking a worker to accept an unrecorded schedule or scope change on behalf of the agency.

If you keep attendance or break records, provide accurate observations through the agreed channel. Worker clock records and agency-approved hours may require reconciliation; an app timestamp alone does not settle your contractual invoice.

Reconcile hours and charges

Send discrepancies to the agency with the event, date, position, time range and explanation. Ask for the supporting record you are authorized to receive. Do not request unrelated workers' private account or pay data.

The agency reviews worker time in Staffing Schedule Pro. You do not currently approve timesheets through a customer portal. Customer invoices, purchase orders, payment terms and disputes are handled through your agreement and the agency's invoicing process.

The application's Subscription invoices are for the staffing company's software subscription. They are not invoices for your event staffing. The software's base-pay reports are not automatically your agreed bill rate or invoice total.

Get help

Contact the staffing agency for requests, booking confirmation, changes, coverage, time disputes and invoicing. Include the business/event, date, issue, urgency and callback contact. The agency escalates application faults to its platform support contact. Platform demo inquiries are not an event-staffing support channel.
